Executive Assistant to the Senior Vice President of OHT (Temporary position, 6 months)

THE CHALLENGE

Being part of the Senior Vice President, Off-Highway Transportation Business Line, the selected candidate will maximize efficiently by assisting with daily administrative tasks as well as any team members upon request. You will be responsible for agenda management, expense reports, travel coordination, presentations, meeting minutes, documentation and more. 

 

COMMUNICATIONS, AGENDAS AND DOCUMENTS

  • Manage correspondence and write responses to routine memos, letters, or correspondence on behalf of the leader when required;
  • Manage and maintain the leader’s schedule;
  • Plan meetings in accordance to the management framework;
  • Prepare reports, presentations and other required documents;
  • Interact with internal and external stakeholders when appropriate and solve problems.

 

TRAVELS, APPOINTMENTS AND RESERVATIONS

  • Plan, book and coordinate business trips (flights, hotels, transportation…);
  • Approve leader’s direct reports business travels;
  • Prepare expense report of leader, and verify / approve his direct reports’ expenses;
  • Review with the vice-president and approve job requisitions in HRIS (MyPath);
  • Act as key go to person for team members and colleagues for travel arrangements, expense reports, meeting organization and logistic, videoconferencing and technological systems in meeting rooms;
  • Manage or support management of the logistics for corporate events as required (hotel rooms, transportation arrangements, meals, etc.).

 

THE PROFILE TO SUCCEED

  • You hold a secretarial study diploma or equivalent;
  • You have over 10 years of experience in a similar position in supporting senior management;
  • You have proficiency in computer software, Word, Excel, PowerPoint and Sharepoint (an asset);
  • You are fluently bilingual, English and French;
  • You have planning and organizational skills;
  • You are discreet, self-confident and flexible;
  • You are collaborative and have a positive approach.
